Job Summary We are a prestigious and successful Investment Management & Property company based in West Central London are looking to recruit a PA to join vibrant and busy offices. Job Purpose The main purpose of the role is to provide personal support to the CEO to provide administrative and clerical support necessary to run the company effectively. Support the CEO in both professional and personal capacity with discretion and integrity. The PA will be expected to attend all meetings with the CEO and act as an interpreter/ translator when needed. The ability to take accurate minutes of meetings in both English and Mandarin is essential. Responsibilities and Duties Job Requirements • Excellent communication skills in English is essential (both written and spoken) • Background or knowledge of working as a PA would be advantageous • Excellent computer skills including Word, Excel, PowerPoint, Outlook, etc. • Demonstrated ability to work independently and as part of a team • Excellent administrative skills both electronic and paper • Be resilient consistent, creative and efficient • Ability to translate English to Mandarin accurately and efficiently and vice versa • Has a minimum typing speed of 40 wpm • Accuracy and attention to detail • Honest, reliable, trustworthy, punctual and hard working • Able to work with tight deadlines within a demanding environment • Proven ability of problem solving skills • Handle matters with discretion and has good judgment • The individual has to be versatile and can adapt to different environments • Excellent interpersonal and communication skills • Ability to work well under pressure Main Duties and Responsibilities • The primary point of contact between the CEO and all contacts • Secretarial and Office support to the CEO including managing and responding to mails in both English and Mandarin, business and personal • Book meetings, make reservations and organize travel arrangements • Take minutes and provide general support • Assist with office and equipment management • Maintain and organize the CEO’s diary to schedule proper appointments and meetings • Support the CEO to ensure targets are met • Maintain office systems, including data management and filing • Arrange travels, visas and accommodationsfor CEO(occasional travelling with the CEO and requested to provide general assistance to the CEO) • Screenphone calls and emails • Make queries or requests on behalf of the CEO • Meet and greet visitors at all levels of seniority • Deal with all the incoming emails, faxes and posts, then correspond on behalf of the CEO when appropriate • Carry out research instructed by the CEO • Conduct documents or reports • Brief the CEO before meetings and appointments • Liaise with clients, suppliers and other staff • Carry out special projects About us The Company Elaine Investment Management Ltd. is a global investment management company that offers responsive investment solutions to both institutional and individual investors.
